Configuring name pronunciation in Microsoft 365

Overview

Microsoft 365 allows you to easily record and share the pronunciation of your name directly in your profile card. This recording will be available to both AACC employees and students when they hover over your profile picture in Outlook, Teams, OneDrive, SharePoint/the AACC intranet, and other Microsoft applications. 

The steps below will walk you through how to create, edit, and remove your name pronunciation using Outlook on the Web (OWA). This process takes only a few moments and can help improve communication and promote an inclusive campus environment.

Creating a Name Pronunciation

1. Sign into Outlook on the Web (OWA) with your AACC email address and password. 

2. To locate your profile card, navigate to the Sent Items folder and select a sent email. Hover over your profile picture in the upper left of the sent email.

3. In the window that appears, select the microphone icon next to your name.

4. A message may appear if OWA has not been granted microphone access. Allowing microphone access will resolve the message. (Note: there will usually be a pop-up in the upper left of the browser that allows you to toggle on microphone access. If you have disallowed OWA microphone access in the past, you may need to check and update your site settings.)

5. Once microphone access has been granted, you will be able to record your name pronunciation by selecting the blue microphone button. Recording will begin immediately. When you are finished, select the blue pause button to end the recording.

To begin the recording:

6. Play back the recording by selecting the blue play button. If you are not satisfied with your recording, select the Retake button on the right side. Otherwise, select the blue Save button. This will immediately save your recording and make it available on your profile card across Microsoft 365 applications.

Removing/Editing a Name Pronunciation

1. Open your profile card (see steps 1 and 2 in the previous section). Select the speakerphone icon next to your name.

2. Select the Delete icon to the right of the recording, then select the Yes, delete button to confirm.

3. To record a new name pronunciation, follow steps 3-6 in the "Creating a Name Pronunciation" section above.
