What Is This Service?
Technology Audits are conducted by the Information and Instructional Technology (IIT) division to ensure that all technology used at the college—whether existing, renewed, or newly proposed—complies with institutional standards for accessibility, security, licensing, and infrastructure compatibility.
This audit process is advisory in nature and supports decision-making around technology purchases and implementations. IIT reviews documentation provided by vendors (such as HECVAT4, VPATs, SOC2 reports) and issues formal recommendations to departments. Based on the evaluation, technology will be classified as:
- Meets Standards
- Meets Standards with Conditions
- Does Not Meet Standards
Departments must involve IIT early in the technology selection process. Audit reports are required before purchases can be finalized.
Where Can I Get It?
Submit a Technology Audit Request through the Service Desk Portal. Phone calls and email requests are not accepted. All communication related to your request will be sent through the Technical Service Desk Portal (technicalservicedesk-replies@aacc.edu), so be sure to retain your ticket number for reference.
Additional Information
Required Information When Submitting a Request
Include the following in your Service Desk ticket:
- AACC Contact (Name, email, phone)
- Indicator if the technology is New or Existing
- Exact product name and website
- Whether the technology is Paid or Free
- Vendor contact info (Name, email, phone)
- Summary of the business use and user audience
- Requested purchase or contract renewal timeframe
- Completed HECVAT4 (preferred), or other documentation (VPAT, SOC2 report, SaaS Questionnaire)
- Any additional relevant documentation
Timeline & Processing
- 10 business days if HECVAT4 is included
- 20 business days if documentation is missing (IIT will attempt to obtain it)
- Incomplete requests will be returned. If no response is received within 5 business days, the ticket will be closed.
- IIT will notify you if an extended timeline is needed.
Audit Results
- Reports are emailed from the Service Desk Portal and include findings and recommendations.
- Only technologies rated "Meets Standards" or "Meets Standards with Conditions" will be accepted by the Purchasing Office.
- Audit reports and materials will be securely stored by IIT.
Department Responsibilities
- Departments must ensure all technology has been evaluated and meets IIT standards before deployment or purchase.
- Early involvement of IIT is required during the selection process.
