Faculty Class Schedule Export

Overview

Instructions to export Faculty class schedules into Outlook Calendar.

Instructions

Within Self Services, faculty may export their class schedule to a CSV file, which can then be imported into their Outlook calendar.

Log into MyAACC using your employee email address and password.

Select Self Services, then Daily Work.

Select Faculty, then Class Schedule – Export to CSV.

Enter a choice into the Term Export Select (1 or 2) field.

Terms are for the class schedule to be exported, only latest term is available.

Select Save, notice green check mark in top right noting Records updated.

An email will be sent to your administrative email account, from Datatel System Account datatel@aacc.edu, containing a CSV file with your class schedule for the term selected.

Open the email and save the CSV attachment to your computer to import in the next steps.

Be sure to save to a place you will recall later.

Import file to Outlook

Open Outlook.

Select File, then Open & Export.

Select Import/Export.

Choose Import from another program or file and select Next.

Choose Comma Separated Values and select Next.

Browse to the location of the CSV file, saved from the email, highlight, then select OK.

Choose Do not import duplicate items and select Next.

Select a destination folder – choose Calendar and select Next.

Please note, folders/calendars are in alphabetical order, you may need to scroll up/down to locate the Calendar destination.

Select Finish.

Progress message will show on screen.  The import is complete once this goes away.

The entry will look like the one above, circled in red.

Note:

If the faculty’s class schedule changes and a new import is created, it would not modify the already imported data in their Outlook.  For example, if my class time changed, I would now have two entries in Outlook for the same class at different times.  The faculty would have to manually remove the incorrect class time.  The same for deletions to class schedules.
