Class Roster and Student Information

Overview

Class rosters and student information is available in Colleague Self Services, accessed from the MyAACC Portal.  Written instructions are available below.  

Instructions

Roster and Student information can be found under Daily Work within Self Services:

  • After signing in to MyAACC, select Self Services, either from the Main Menu button in the top left, or from the Self Services card.

  1. Select Faculty overview under Daily Work / Faculty (or select the Faculty tile from the Self Services home page).
  2. Select the course you want to manage to view the section details.
  3. Student information (phone number and email address) can be viewed by choosing a student from the roster and selecting View full profile.

Audit and Previously Enrolled Columns

Beginning Winter 2023, faculty will see columns labeled Audit and Previously Enrolled.

Example class roster.

  • Audit Column - if marked Audit, this designates the student is registered as Audit. If faculty see the student is auditing, they can confirm with the student to be sure it is intentional. 
    • Please check in early in the term with students for whom you see Audit in the audit column to make sure they intended to audit the course rather than taking it for credit.
    • Impact on students auditing a course:
      • Students who wish to be under no obligation for regular attendance, preparation, recitation or examination, and who do not wish to receive any credit, may register for a course for audit (AU). In a 15-week term, students may change registration status between credit and audit during the first three weeks of classes. For terms shorter than 15 weeks, the audit period will be defined proportionately.
      • Since no credit hours are attempted or earned and no quality points are given for an audited class, the course will not be included in calculation of the student’s grade point average. Audited courses are not eligible for graduation requirements, calculation toward students’ full-time or part-time enrollment status, or toward financial aid. The designator AU will be entered on the student’s academic record. Regular tuition and fees apply to audited courses. A student may not receive credit for a course that is audited.
    • Faculty obligations to students auditing a course:
      • Students may petition the Committee on Academic Standards to change from Audit to Credit in the first 3 weeks of class. Faculty are encouraged to take attendance and grade/record all work through the first 3 weeks of class. 
      • Faculty will not record a final grade in the course; the AU designator will be the final grade. 
         
  • Previously Enrolled - if marked Yes, this indicates the student has previously registered for the course.  If the faculty member is aware the student is repeating the course, they can initiate a conversation about their previous enrollment experience, providing an opportunity to connect the student with resources and make referrals to advising, tutoring, etc. 
    • Yes in the Previously Enrolled column simply means that at some point in the past, the student registered for the course. It does not necessarily mean that the student completed the course and earned a grade. Students who drop during the drop/add period or withdraw within the withdraw period will also be marked Yes. 
    • Please check in with students early in the term to inquire about students' past experiences with the course. Students who have completed the course and earned a grade, or withdrew to avoid failing in the past, may be able to identify the point at which they realized difficulty in the previous attempt. This could be an opportunity for productive intervention, to make referrals to support services or offer additional assistance during office hours.
